Upon registration of programs and reservation of parties, it is incumbent upon the clients to review and familiarize themselves with Pole Dance StudioÕs corporate policies governing situations where they: anticipate missing a scheduled class; wish to transfer their registration or reservation to another program or client; or request to cancel otherwise withdraw from their program registration or party reservation.  These policies are hereby collectively referred to as Pole Dance StudioÕs ÒCancellation PolicyÓ.  Pole Dance Studio management reserves the right to waive the following policies at their discretion on a case-by-case basis only.

Missing Scheduled Classes within a Program

Clients unable to attend a class within a 6-week program (due to personal schedule conflicts, unanticipated circumstances, etc.) will not be permitted to make up for that missed class.  Clients will not receive credit for any missed classes.

As of October 1st, 2007, Pole Dance Studio has changed the regular class schedule to accommodate 6-week programs and 1-hour long classes.  The new format of longer programs and shorter classes will allow for a more gradual learning experience over the course of 6 weeks rather than the previous format of 4 weeks.  As such, missing a class will not necessarily affect clientsÕ progress. 

Clients wishing to complete a particular program from which they missed classes must contact Pole Dance Studio management and make a formal request to attend a class in a future scheduled program of the same or lower level.  Requests will be considered based on program or class availability and upon the discretion and approval of Pole Dance Studio management.  Pole Dance Studio management reserves the right to charge clients up to $50 (plus HST) for each missed class.

Transferring Program Registration

Clients wishing to transfer their registration for a program or workshop* to a future scheduled program or workshop* may elect to do so at no cost by notifying Pole Dance Studio management at least 7 days prior to the first scheduled class of the currently registered program or workshop. Clients wishing to transfer their registration on short notice (less than 7 days but greater than or equal to 72 hours) will be required to pay a $25 administration fee (plus HST). Clients may not transfer their registration with less than 72 hours notice.

If clients choose to postpone their registration but do not specify which future scheduled program or workshop they wish to register, it is incumbent upon the client to notify Pole Dance Studio management which program or workshop they wish to apply their registration. Clients must specify and attend a program or workshop no later than 6 months from the date of initial registration. Registration fees are non-refundable and non-redeemable after 6 months from the date of initial registration.

Clients may transfer their registration to another person (for the same program set prior to first class start date) or to an earlier scheduled-program or workshop* at no charge (providing there are spots available).

*An exception to this policy relates to registration for the Master Certification workshops: Clients registered for a Master Certification workshop wishing to transfer their registration to an earlier or future scheduled Master Certification workshop or to another person will be subjected to a 20% administrative fee, regardless of when they provide notice of their intentions.  Clients must specify to which scheduled Master Certification workshop and/or to whom they wish to transfer their registration no later than 12 months from the date of initial registration.  Master Certification registration fees are non-refundable and non-redeemable after 12 months from the date of initial registration.

Cancellation or Withdrawal from Programs (requesting a refund)

Due to limited spacing in most Pole Dance Studio programs, clients registering and then later requesting to withdraw from programs or workshops* may prevent other clients from registering. Therefore, for Introductory Classes, 6-week Programs, and Workshops (excluding Master Certification), clients requesting to cancel their registration or otherwise withdraw from a program will be subject to the following administrative fee schedule:

  • At least 7 days' notice prior to the first scheduled class: refund of cost of program or workshop* minus a 20% administration fee (plus HST)
  • Less than 7 days but greater than or equal to 72 hours' notice prior to the first scheduled class: refund of cost of program or workshop* minus a 50% administration fee (plus HST)
  • Less than 72 hours' notice prior to the first scheduled class: no refund

*Master Certification Workshops fees are non-refundable and are excluded from the above administration fee schedule.

For Private Lessons and other scheduled appointments, clients must provide at least 48 hours' notice of cancelling/re-scheduling or they may be subjected to a $25 administrative fee (plus HST).

Postponement and Cancellation of Stagette and Private Party Reservations

For Stagette (Bachelorette) and Private Parties, the deposit paid is non-refundable: Party Organizers wishing to cancel their reservation forfeit the deposit paid. Party Organizers have the option to reschedule their Party for a different time and/or date (availability permitting) at no cost as long as they notify Pole Dance Studio management at least 7 days prior to the time and date of the previously confirmed reservation. Party Organizers wishing to reschedule their Party for a different time and/or date (availability permitting) on short notice (less than 7 days but greater than or equal to 48 hours' notice) will be subjected to a $25 administrative fee (plus HST). With less than 48 hoursÕ notice (including same day cancellations and Òno-showsÓ), the reservation and deposit and non-transferrable and non-refundable.

Custom-scheduled Programs ("Create-a-Class") Policies

As custom-scheduled programs (ÒCreate-a-ClassÓ) require additional administration to prepare for and host sessions outside of the regular programs, the following specific policies regarding missed classes, rescheduling individual classes, workshops, or entire programs, and program cancellation will apply to client-scheduled group classes.

Missing a Class

Clients unable to attend a class within a custom-scheduled program (due to personal schedule conflicts, unanticipated circumstances, etc.) will not be permitted to make up for that missed class.  Clients will not receive credit for any missed classes.

 

It is incumbent upon each client within the group to ensure they are available for ALL classes or workshops within a custom-scheduled program prior to Pole Dance Studio approving the proposed schedule and prior to their registration and payment. If a client cannot participate in a class within the approved schedule, that student will not be allowed to make up for a class. Clients wishing to make up for missing a class within a custom-scheduled program will therefore have to pay the applicable drop-in rate of up to $50 (plus HST) in a subsequent regularly scheduled class or workshop, depending on class and instructor availability and at the discretion of Pole Dance Studio management.

Rescheduling Classes or Program

Once a custom-scheduled program has been confirmed and registered (schedule approved and minimum payment received), the classes, sessions, or workshops within that custom-scheduled program cannot be rescheduled upon request unless all registered clients within the program (the Òclient groupÓ) are unanimous with the requested changes to the schedule.  The client group unanimous in their decision may request to reschedule any class, session, or workshop within the program upon at least 7 days notice prior to the first scheduled class or workshop without charge. The client group requesting to reschedule on shorter notice (less than 7 days prior to the first rescheduled class or workshop) will be subject to a $25 administration fee (plus HST) per student within the group.

Pole Dance Studio management reserves the right to approve or deny any requested changes subsequent to the original confirmed and registered custom-scheduled program.

Cancellation of "Create-a-Class" Programs

Upon confirming and registering a custom-scheduled program, cancellation and refund requests will only be considered if each and every registered client contacts Pole Dance Studio and confirms their withdrawal. As Pole Dance Studio reserves the right to accept registration of other students for the custom-scheduled programs, cancellation of any given program may not be possible. A unanimous withdrawal request will be subject to the following administrative fee schedule per student within the group:

  • At least 72 hours notice prior to the first scheduled class: refund of cost of program minus a 20% administration fee (plus HST)
  • Less than 72 hours but greater than or equal to 48 hoursÕ notice prior to the first scheduled class: refund of cost of program minus a 50% administration fee (plus HST)
  • Less than 48 hoursÕ notice prior to the first scheduled class: no refund
